Every sales call analysed and in the CRM within the hour
A two-person sales team made dozens of calls a day and wrote almost none of them down. Now every call is transcribed, coached and logged to the CRM before the next one starts.
- 100%
- of calls logged to the CRM within the hour
- 198
- missed follow-ups surfaced in the first sweep
- ~6 min
- of note-taking saved per call
The problem
The team sold to towns and school districts over the phone. Recordings piled up in the phone system, but nobody had time to listen back. CRM notes were a line or two written days later, if at all. Voicemails were left and forgotten, "send me the information" was promised and not sent, and the owner had no way of knowing which pitch worked and which did not.
What the team did
Hunter pulls the call log from the phone system every hour and matches each number against the CRM. Recordings are transcribed with speaker turns, and Vera writes a summary: who was reached, what was said, what was promised.
Coach then analyses every conversation against the team's own playbook: the stage reached, the objections raised, whether a demo was booked, the person the prospect pointed to, and where the pitch drifted. Each finding is tied to a quote and a timestamp, so the owner can listen from that second.
Porter logs the call as an activity on the matching contact in the CRM, with the summary and the next step. New contacts and follow-up tasks are proposed, not written: a person approves them with one click.
Every weekday morning Coach sweeps the week for gaps: voicemails with no follow-up, information promised and never emailed, demos agreed with no date. The list goes to the team's Slack channel before the first call of the day.
“I finally know what happens on the calls I am not on.”
