Meeting recordings turned into CRM deals, outcomes and next steps
Partners recorded every client meeting and then typed the notes into the CRM by hand, days later. The team now does it in minutes, with the deal, the decisions and the next steps linked.
- < 10 min
- from meeting end to a summary in the CRM
- 0
- minutes of manual note-taking per meeting
- 1 weekly brief
- of commitments due and deals that moved
The problem
Client meetings ran on Zoom, in person with a pocket recorder, and on the phone. Each partner spent the last hour of the day writing up what was said, deciding which deal it belonged to, and creating follow-up tasks. When the day ran long, the write-up did not happen, and the firm's CRM slowly stopped reflecting reality.
What the team did
Recordings arrive on their own: Zoom cloud recordings, Grain meetings and Plaud voice notes are collected as they finish. Each one is transcribed and Vera writes a structured summary: attendees, decisions taken, commitments made on both sides, open questions, and next steps with owners and dates.
Watson matches the meeting to the right organisation and open deal in the CRM using the attendees and what was discussed, and links the summary to it. Next steps become proposed CRM activities; a partner approves them from Slack or the dashboard, and Porter writes them.
On Monday morning Watson's brief lists every deal that moved last week, every commitment falling due this week, and every meeting whose next step still has no owner.
